All bookings with Rovic Executive Tours must be confirmed in writing. Clients are required to provide accurate personal and travel details, including full names (as per passport), travel dates, flight information, accommodation preferences, and any special requirements.
A 40% deposit is required to secure all reservations. Bookings are only considered confirmed upon receipt of the deposit and written confirmation from our team.
The remaining balance must be settled 14 days before the commencement of the tour. For bookings made within 30 days of travel, full payment is required at the time of confirmation.
Payments can be made via secure bank transfer, credit/debit card, or other approved payment methods. Any bank or transaction charges are the responsibility of the client.
All cancellations must be submitted in writing. The following cancellation charges apply:
More than 60 days before travel – Deposit partially refundable (less administrative fees)
30–59 days before travel – 50% of the total booking cost charged
15–29 days before travel – 75% of the total booking cost charged
Less than 14 days or no-show – 100% of the total booking cost charged
Refunds, where applicable, will be processed within a reasonable timeframe, excluding any non-recoverable third-party costs.
Requests to modify confirmed bookings (dates, accommodations, or itinerary) are subject to availability and may incur additional charges. While we strive to accommodate changes, Rovic Executive Tours reserves the right to adjust itineraries due to weather conditions, safety concerns, or operational requirements.
All clients are strongly advised to obtain comprehensive travel insurance prior to travel. Coverage should include trip cancellations, medical emergencies, evacuation, loss of personal belongings, and travel delays.
We offer a curated selection of mid-range to luxury lodges, tented camps, and exclusive safari experiences across East Africa. While we aim to provide the highest standards, accommodation is subject to availability, and alternatives of equal or higher quality may be arranged where necessary.
Safari experiences take place in natural environments where wildlife movement is unpredictable; sightings cannot be guaranteed.
All safaris are conducted in custom 4×4 safari vehicles, designed for comfort, safety, and optimal game viewing, unless otherwise agreed. Travel in remote areas may involve uneven terrain and longer driving times, which are part of the authentic safari experience.
For safety and enjoyment, all guests are expected to:
Follow the guidance of safari guides and staff at all times
Respect wildlife and maintain safe distances
Comply with park regulations and local laws
Dress appropriately for safari conditions
Respect local cultures and communities
Failure to comply with safety instructions may result in removal from certain activities without refund.
Clients are responsible for ensuring they meet all health requirements, including vaccinations, visas, and travel documentation. Any medical conditions or special needs must be disclosed prior to travel.
Rovic Executive Tours acts as an intermediary between clients and service providers (lodges, airlines, transport providers). While we carefully select our partners, we are not liable for:
Delays, cancellations, or disruptions beyond our control
Loss or damage to personal property
Injury, illness, or unforeseen events during travel
All travel is undertaken at the client’s own risk.
We shall not be held responsible for failure to perform obligations due to events beyond our control, including but not limited to natural disasters, political unrest, pandemics, or government restrictions.

The laws of the country of operation govern these Terms & Conditions. Any disputes arising shall be resolved through mutual agreement or, if necessary, through legal processes within the applicable jurisdiction.
